How to match applications in your ATS with Prosple applicants

With the recent launch of the applicants tab in the Prosple Employer Portal, we thought it would be timely to put together some quick tips and tricks on how employers can get the most out of this feature.

With the recent launch of the applicants tab in the Prosple Employer Portal, we thought it would be timely to put together some quick tips and tricks on how employers can get the most out of this feature.

In short, the applicants tab tracks all students who apply or have started applying for your open opportunities on the Prosple network. For employers who are receiving applications in their ATS (Applicant Tracking System):

  • All candidates in the applicants tab will be marked “Started”
  • The reason is, we know the student has started their application through Prosple, but we’re unable to track whether or not the student has completed their application in your ATS

In this article, we’re going to explore how employers can maximise this tool and manage students that don’t complete their application in your ATS.

 

Step 1

  1. Log in to Prosple Employer using your email address and password
  2. Navigate to the ‘Applicants’ tab in the menu to the left

 

Step 2

  1. Filter to the job you’d like to view all applicants
  2. Select all applicants
  3. Click ‘Export’ to download all applicants

 

Step 3

You will receive an email with a link to your export file

 

  1. Click the link - a zip file containing the data will automatically download
  2. Open the CSV file

Tip: you won’t need all of the data - start by deleting column A-E and I-AD, which means that you’re left with the applicants first name, last name and email address

 

Step 4

  1. Go to your ATS and download all candidates who have applied for the opportunity
  2. Open this spreadsheet: Applicants comparison template
  3. Click ‘File’ > ‘Make a copy’ to create your own version
  4. Paste the first name, last name & email addresses of all candidates who have applied for the opportunity in your ATS into the sheet “ATS applicants”

Note: If your organisation doesn't allow access to google docs, you can download the Excel file

 

Step 5

Using your ATS data; copy/paste the first name, last name & email addresses of all candidates who have applied for the opportunity in your ATS into the sheet “ATS applicants”

 

Step 6

Using your Prosple applicant data; copy/paste the first name, last name & email addresses of all candidates who have applied for the opportunity with Prosple

And… success! You should now be able to see all applicants who have applied for your opportunity with Prosple

Applicants tab matching tool (updated)

Exact match = the candidate has applied in your ATS

Potential match = the student might have applied via your ATS (eg. the email address might not match)

No match = the student hasn't applied via your ATS

 

Step 7

Follow up with any applicants who haven’t yet completed their application in your ATS. Below is an email template we recommend using:

I noticed that you started your application for the #job-title, however, you haven’t yet completed your application. Applications for this position close on dd/mm/yy, and we’re looking for candidates like you to join the program!
